A Grade or Course Is Missing or Wrong in OUAC: What Should I Do?

Identify the exact mismatch

Record:

• applicant name and OUAC reference number;
• course code and title;
• status: enrolled, projected, interim, midterm, final, withdrawn, repeated;
• mark/credit value shown and expected;
• school and delivery provider;
• date checked;
• application/program deadline affected.

Avoid sending full personal records through an insecure or unofficial channel.

Who usually owns the correction

For a current Ontario high-school applicant, the school normally supplies scheduled-course and grade information through its process. Guidance can compare the Ontario Student Transcript/school record with what was transmitted and explain the next transmission.

Applicants outside this workflow—graduates, transfer students, students from another province/country, or those with another credential provider—must follow the document instructions for their applicant type.

OUAC displays and distributes application information, while the school or institution that issued a record is the authority for that record. A university may also request documents directly.

Contact message

Subject: OUAC course/grade review — [reference number] My OUAC academic information checked on [date] shows [exact entry]. My school record shows [exact difference]. The affected course is [code/title/provider]. Could you confirm whether a correction or later scheduled transmission is needed, who will send it, and when I should recheck OUAC?

Attach only what the school requests.

Common explanations to verify

• a scheduled transmission has not occurred yet;
• the course was recently added, dropped, repeated, or completed elsewhere;
• the outside school has not sent information to the home school;
• a midterm/final status differs from what the applicant assumed;
• an applicant-category document must be uploaded or sent another way;
• the course code or credit value is wrong in the source record;
• the university portal has a separate document status from OUAC.

An explanation is not a correction until the responsible office confirms it.

After the change

1. Recheck the OUAC academic information.
2. Save the correction confirmation.
3. Check each university portal for missing items.
4. Contact admissions if a deadline or decision may have been affected.
5. Keep the school and course provider aligned for later final grades.

If the underlying school record is wrong

Use the school’s record-correction process. Ontario’s OSR guideline explains student/parent access and written correction requests. Do not ask OUAC to invent a mark different from the issuing school’s record.

Should I wait because OUAC will probably fix it automatically?

If the item is clearly wrong or a deadline is near, contact the responsible office promptly. If it is only awaiting a scheduled transmission, guidance can tell you when to recheck.

Should I email every university immediately?

First identify and correct the source where possible. Contact universities when their portal instructs you to, a deadline is affected, or guidance/OUAC advises it. Use the exact applicant and program information.
